A 20-page quarterly report or a long contract can today be reduced to the key points in less than a minute. ChatGPT, Microsoft Copilot, Google Gemini, and Claude read uploaded PDF files and write a short summary from them. The comparison shows which tool is suitable for which office routine – and where the limits lie.
Four AI Chatbots Read PDFs and Summarize Them
ChatGPT from OpenAI, Microsoft Copilot, Google Gemini, and Claude from Anthropic operate on the same basic principle. A PDF file is uploaded to the chat window by clicking or dragging. Then, a short instruction like “Summarize the document” is enough to get the key points.
The four providers set different technical limits. According to Anthropic, Claude processes text and images in PDFs up to 100 pages; for longer documents up to 1000 pages, the AI only reads the plain text. An earlier guide to Claude shows the individual steps for reports and contracts in detail.
According to OpenAI, ChatGPT processes files in PDF, Word, and Excel formats directly in the chat, with free accounts limited to a few uploads per day. Microsoft Copilot limits uploads according to Microsoft to 50 megabytes per file and a maximum of 20 files per conversation. Google Gemini automatically displays a summary in Google Drive as soon as a PDF file is opened there.
How Summarization Saves Time in Office Routine
Before a client meeting, a ten-page contract can be read in short form instead of going through each clause individually. After a meeting, the AI summarizes a PDF protocol into the open tasks. When comparing multiple offers, key figures can be extracted from each PDF and placed side by side.
The summary does not replace reading the document itself for legally binding documents. However, it helps to decide in a few seconds whether a document needs to be read in full.
Price, Access, and Data Protection Overview
All four tools run in the browser and in an app, and access from Germany and the EU is possible without restrictions. However, they differ significantly in price, additional licenses, and data protection settings.

For all four tools, the summary remains an approximation, not a guarantee. Numbers, deadlines, and legal nuances should still be checked by a person for important documents – the AI reads quickly, but not always with ultimate accuracy.
